WineTalent is working with our client, Napa Valley Grapegrowers, on a full-time opening for a Member Relations Manager.  This person will be responsible for the overall development and execution of the organization's membership outreach plan.  The ideal candidate will have a strong sales and marketing background with a proven track record of increasing growth.  Additionally, this person will exhibit exceptional professionalism, analytical and communication skills and strategic thinking.

RESPONSIBILITES:

Membership Outreach

·      Develop and manage membership outreach plan to increase membership
·      Host and promote regular meetings and events with current and potential NVG members to communicate the value of membership.
·      Responsible for meeting membership growth and budget goals as established annually
 Member Relations
·        Act as staff liaison to NVG membership
·        Personally meet with and regularly communicate membership benefits with existing members
·        Manage membership database of over 700 members
·        Manage custom web-based CRM platform
·        Manage membership GIS map and update as needed (no prior GIS experience required).
·        Liaise with county Assessor’s office and the Ag Commissioner’s office to maintain current and accurate Napa County parcel data
·        Manage membership dues renewal process and work with the Head of Finance to ensure that accounting and reporting is accurate and timely
·        Assess value for each membership category and make recommendations to enhance membership benefits
·        Manage the members-only section of the NVG website
·        Assist NVG Associate Director to identify and approach members about becoming an annual NVG strategic sponsor
·        Manage the ongoing Board of Directors Liaison program
 Member Events
·      Annual Membership Meeting
§ Work with NVG Executive Director to develop the meeting agenda and overall presentation program
§ Work with Committee Chairs on individual presentations
§ Create power point presentations for each Committee Chair, and upload to laptop
§ Manage the creation of the meeting packets for attendees
§ Work with NVG Event Manager on member takeaway gifts
§ Work with NVG Event Manager on overall timeline, food & beverage needs, AV requirements, etc.
§ Prepare all follow up thank you letters and membership communication
·      Work with the Marketing & Communications Committee in the development and execution of the NVG Social Club
·      Work with NVG team and committees to develop new member events and programs to increase value and benefits of membership
 Member Communications
·      Work with the Marketing & Communications Committee to fulfill the membership objectives of the Marketing Plan
·      Maintain & order inventory of NVG membership collateral materials
·      Provide input on weekly Grower Bulletin newsletters as they relate to communicating benefits of membership
·      Prepare and send membership correspondence
 Provide general support to the Board of Directors and the Executive Director
·      Prepare monthly Board of Directors membership report
·      Prepare biannual Board of Directors membership presentation
Service the goals and objectives of the NVG Strategic Plan
Miscellaneous administrative duties and event support

QUALIFICATIONS:

  • ·      At least 5 years in related position
  • ·      Superior writing and verbal communication skills
  • ·      Experience or interest in Napa Valley winegrape growing
  • ·      Highly motivated work ethic and organizational skills
  • ·      Strong interpersonal skills and an outgoing personality
  • ·      Advanced abilities to create, maintain, and report budgets
  • ·      Demonstrated success managing accounts and performing analyses
  • ·      Proficiency in Excel and Word. Experience with CRM and/or database tools a plus
  • ·      Experience with the sales and management of a luxury brand a plus
  • ·      Ability to assist with event set up, breakdown, and coordination
  • ·      Ability to lift 50 lbs.
  • ·      Clean driving record with the California DMV

WineTalent Classifieds: Event Manager with the Napa Valley Grapegrowers

WineTalent is working with our client, the Napa Valley Grapegrowers, on an Event Manager role.   The successful candidate will demonstrate experience in event planning, working efficiently with a team environment, exemplary organizational skills, an attention to detail, and an aptitude for learning quickly.

The Event Manager will be responsible for the following events:

Annual Membership Events:
    • Annual Membership Meeting
      • Manage, plan and execute the Annual Membership Meeting
      • Work with the Member Relations Manager and Executive Director to coordinate event logistics: AV needs, food & beverage, invitation, venue, etc
    • Annual Dinner
      • Responsible for the management and coordination of all event aspects of the Annual Dinner
      • Event logistics: create event timelines and schedules, manage all vendors, coordinate set up and breakdown, point of contact for event venue, etc.
      • Manage all décor, event rentals, AV/lighting, logistics, site, activities, caterers, and other vendors
      • Manage all wine donations, pickup/delivery schedules, and pouring
      • Assist with sponsorship outreach and management
      • Work with Member Relations Manager and Executive Director on the logistics of the stage program and Grower of the Year video
      • Manage all follow up details – thank you letters, invoicing, membership communications, etc.
    • Other membership events that arise
    • Manage the annual membership event budgets and report regularly to the NVG Associate Director
 Harvest STOMP
    • Responsible for the management, coordination and execution of the Harvest STOMP annual fundraiser
    • Work with STOMP Committee Chairs and Steering Committee to create overall design and vision for event
    • Manage all décor, event rentals, AV/lighting, logistics, site, activities, and vendors
    • Manage all pre-event, day-of event and post-event details, staff, and logistics teams
    • Manage all caterers and coordinate all aspects of food service throughout the event
    • Manage the coordination of the band and entertainment requirements
    • Manage the event budget, reporting regularly to the NVG Associate Director
    • Assist with developing and executing sponsor recognition plan
    • Assist with the creation and development of Auction Lots and Lucky Lots
    • Work with STOMP Committee in the creation of the attendee take-a-way gift bags
    • Oversee the procurement and coordination of all wine donations
·      Efficiently prepare for and coordinate STOMP Steering Committee meetings and various sub-committee meeting schedules
·      Prepare meeting minutes for the STOMP Steering Committee and sub-committee meetings
    • Manage all follow up post-event:  thank you packets, auction lot follow up, vendor communication, invoicing, budget, committee wrap up, etc.
 ROOTSTOCK
    • Solicit and manage all exhibitor outreach and logistics
    • Assist with the setup of the online exhibitor and event registration platform
    • Manage all aspects of exhibitor placement, booth assignments, contracts, nametags, etc.
    • Exhibitor point of contact for the entire event
    • Assist with the coordination and execution of sponsor benefits
    • Responsible for managing and executing all aspects of the pre-event seminar and welcome reception
    • Assist NVG Program Manager with all event rentals, vendor coordination, and overall event logistics
    • Work with NVG Program Manager and FWF Program Manager on event staffing needs
    • Coordinate the food & beverage needs for the event
    • Attend and participate in all ROOTSTOCK Steering Committee meetings
 Napa Valley Farmworker Foundation
    • Annual Pruning Contest
      • Responsible for all aspects of management, coordination and execution of the Annual Pruning Contest
      • Manage sponsor solicitation and outreach
      • Event logistics: create event timelines and schedules, manage all vendors, coordinate set up and breakdown, point of contact for event venue, etc.
      • Manage all décor, event rentals, AV, logistics, site, activities, caterers, community organization participants, and other vendors
      • Work with Steering Committee to secure all contestant prizes
      • Manage Pruning Contest budget, reporting regularly to NVG Associate Director
      • Manage all post event wrap up and follow up
    • Annual Donor Recognition & Farmworker Appreciation Luncheon
      • Manage all event coordination and logistics details of the annual appreciation luncheon
      • Secure event venue and oversee all event logistics – catering, AV, donor gifts, wine donation, etc.
      • Manage the event budget
      • Manage all post-event follow up
    • Día de la Familia
      • Assist the FWF Program Manager in planning and executing the event
      • Coordinate Día de la Familia Steering Committee meetings and prepare meeting minutes
      • Assist the FWF Program Manager with vendor logistics – catering, event rentals, audio visual, set up, breakdown, décor, catering/event staff, etc.
      • Coordinate all kids activities
      • Assist FWF Program Manager with all event wrap up
 Miscellaneous support for NVG seminars & events

Qualifications:

Program Manager

WineTalent is working with our client, the Napa Valley Grapegrowers (NVG), to find a Program Manager to support the organization.  The Napa Valley Grapegrowers is a nonprofit organization dedicated to preserving and promoting Napa Valley’s world-class vineyards.  The Program Manager will be responsible for the development of educational seminars, the logistics of all events and will be responsive to the needs of NVG membership.  The Program Manager will exhibit exceptional professionalism, analytical skills, communication abilities and organizational skills.

Napa Valley Grapegrowers routinely puts together educational seminars to support the needs of the membership.  The Program Manager will work with the Associate Director to identify potential seminar topics, develop the content, reach out to industry experts to support the seminars and handle all of the logistics of these seminars.  The Program Manager is also interacting with the membership and the Board of Directors to identify topics and programming for seminars.  Additionally the Program Manager will play a key role in all special events NVG puts on.  This will include venue selection, vendor contract negotiation and scheduling all actions that must happen to create a professional and seamless event.  To support and build on the mission of the Napa Valley Grapegrowers, the Program Manager will manage the website content related to the position, assist with the grant process including all necessary reporting, and administrative duties as needed. 

Responsibilities:  

  • Seminars & Events
    • Responsible for coordinating all event logistics from start to finish
    • Create event timelines and checklists
    • Manage all aspects of event registration and work with Director of Finance to ensure payment is received
    • Manage all event budgets reporting regularly to NVG Associate Director
    • Coordinate all vendor logistics – catering, event rentals, audio visual, set up, breakdown, décor, etc.
    • Secure event venues and oversee all rental and contract agreements
    • Assist with sponsorship outreach and details
    • Create attendee folders, handouts, and event materials
    • Manage event volunteers and ensure staffing needs are met
    • Responsible for all event follow up and wrap up
    • Manage and plan the annual Afternoon in the Vineyards event

  • ROOTSTOCK
    • Assist with the management, planning and execution of the NVG annual exhibition & symposium
    • Assist NVG Associate Director and ROOTSTOCK Event Coordinator in managing the marketing & promotion schedule, timeline, printing and mailing requirements for signs, postcards, event program, billboards, online & print ads, etc.
    • Work with event committee on the development of seminar topics and overall program
    • Assist with sponsorship outreach efforts and coordination of sponsor benefits
    • Assist with the management of the event budget
    • Manage all aspects of event registration and work with bookkeeper to ensure payment is received
    • Assist with all aspects of event logistics and execution


  • Harvest STOMP
    • Provide event planning support to NVG Associate Director and Harvest STOMP Steering Committee
    • Assist with all event logistics and execution
    • Assist in creating overall event design and decor
    • Assist with managing event staff, vendors and volunteers

  • Research, Reports and Services
    • Assist with the coordination of the NVG Vineyard Trial Program

  • Website Management
    • Responsible for creating all website pages for NVG events and seminars
    • Responsible for day-to-day updates of website to ensure information is current and accurate
    • Responsible for creating all online event registration pages

  • Grants
    • Responsible for assisting Associate Director with grant reporting and budgeting
    • Responsible for keeping annual grant program folder up-to-date with all relevant reporting information
    • Act as co-coordinator for all grant activities

  • Administrative duties for each of the above programs and associated committees

  • General support to NVG Associate Director
